Link to Existing Option

The Link to Existing option allows end-users to rely on, or share, data across assessments and applications, preventing assessing the same objects multiple times. When this feature is enabled, users can add previously assessed data when scoping and launching another assessment (e.g., sharing controls across business units or between multiple applications, like Risk Management and Compliance Management). Users can also add previously assessed objects via an Advanced Relationship Table.

Admins can enable the Option to Link to Existing toggle beside an object type from the Configuration tab of the Edit Assessments page. 

Resolver Core does not currently support the Link to Existing option for Focus objects. Toggling the switch for a focus object will not result in any change.

Important Notes About Sharing Assessment Data

  • Enabling this option on an assessment allows other assessments to consume the data. For example, if you launch a Risk assessment and want to rely on Controls from a Compliance assessment, the Link to Existing toggle must be enabled in the Compliance Assessment workflow settings.
  • Only non-reference data can be linked and this option will be greyed out if the Assessment Data toggle is disabled for the object type.
  • Enabling this option will automatically toggle on any related/children objects and vice versa.
  • If the Link to Existing option is enabled multiple times on the same object type(s) in a data definition, the system will randomly pull data from only one object type path. For example, if the linking option was enabled twice on the Control object type, the previously assessed objects available for scoping would be randomly pulled from either Control data path in the definition.
  • Relationship or reference data on linked objects are automatically linked to the new assessment.
  • End-users scoping assessments can review linked objects and select if they want to create a new version or link the assessment to the existing data. However, this page will only be available if the Link to Existing option is enabled and they have permission to view the objects.
  • When linking assessment data through an Advanced Relationship table, only clones (non-library objects) can be linked if both the parent and child objects are not linked to the same assessment.
  • Resolver Core does not currently support the Link to Existing option for Focus objects. Toggling the switch for a focus object will not result in any change.

Advanced Relationship Tables

The ability to share previously assessed objects on an Advanced Relationship table can be used by Risk owners and Requirement owners in the Risk Management or Compliance Management apps. Example use cases include:

  • Risk and Compliance: A Risk Owner from Business Unit 1 documents Controls in relation to their Risk. This user is also a Requirement Owner in the Compliance app, and they need to attest to a Requirement that relies on the same Control they documented for the Risk Management team. Therefore, they need to rely on their existing Control in a relationship because it operates the same way in relation to the Risk and Requirement.
  • Compliance: A Requirement Owner from Business Unit 1 documents Controls in relation to their Requirements. Another Requirement Owner in Business Unit 2 can draw from the list of existing Controls and rely on the results of the Business Unit 1 Control in a relationship without creating a new version.
This option is not available on reference tables.

Before this feature can be used, the following requirements must be met:

  • The Option to Link to Existing toggle beside an object type from the Configuration tab of the Edit Assessments page is enabled. See the Assessments Workflows section for more information;
  • The object the user is trying to link is a clone object and its parent is also a clone object, (i.e., not a Library object); and
  • The parent and child objects are not linked to the same Assessment object; and
  • The Enabled Advanced option is enabled on a relationship element on a configurable form.

Once these conditions are met, clicking +Add in the Assessments section on the palette will display the option to Link to Existing (link to previously assessed data) or Create New Version of the object in the Assessments section on the relationship table.

Assessment objects will also display the dimensions and current workflow state. If the assessment has multiple dimensions, a + icon and the number of additional dimensions (e.g., +1) can be clicked to display those dimensions.
